Japan’s E-Tra Note Bridges Language Gaps in Schools

Ōarai Elementary School in Ibaraki, Japan, is using E-Tra Note, a digital correspondence log, to communicate with non-Japanese speaking parents. The system allows teachers to send announcements and requests in parents’ native languages without needing fluency themselves.

E-Tra Note contains 500 pre-translated school phrases, covering everything from supplies needed for class to emergency closures, and can generate over 20,000 notification types. The software arose from the observation that teachers were overburdened with translation tasks and lacked time for core educational duties.

Developed by Tochigi Prefecture’s Utsunomiya University and Toppan, E-Tra Note has been adopted by around 160 schools nationwide. The system proved vital during the COVID-19 pandemic, streamlining communication when schools closed. While challenges remain, such as ensuring parents actually read the emails, E-Tra Note is increasingly crucial as Japan’s foreign-born student population grows and diversifies, supplementing Japanese language education efforts.
